How to approve a cosmetic packaging sample before production

Imagine the decorated bottle is approved, but the quotation names only a family code. If the pump or cap later changes, the photograph may no longer describe what will be supplied. Avoid that gap by giving the approved assembly one complete reference.

Record the body model and suffix, drawing revision, nominal capacity, cap and dispenser references, color, decoration and quantity by version. Where a component comes from a partner supplier, identify it in the same record. Keep the approved sample and its photographs together.

Review artwork placement on the assembled pack. A label can look centered on the body but sit awkwardly against the pump or cap when the consumer sees the complete product. Use the actual proposed print area and artwork at final size.

Compare the color and finish against the agreed reference under the viewing conditions your team chooses. Identify which surfaces matter most and record visible defects that would be unacceptable. A photograph is useful for communication; retain the agreed physical reference when color or texture is important.

An empty sample cannot establish compatibility with the contents. Send the proposed contact-material information and assembly to the team responsible for your formula and filling process. They should decide the conditions, duration and acceptance criteria relevant to the product.

For a dispenser, document the required dose target and observations during priming, normal use and the end of dispensing. For a jar or tube, agree the relevant closure, access and leakage checks. Do not convert a catalog capacity into a promised application count.

Keep results attached to the tested configuration. If the pump, seal, resin or filling conditions change, ask the responsible team which checks need repeating.

A finished metallic or printed surface needs the protection specified for the order. Review the proposed sleeves, trays, dividers or other packing with a packed sample. Ask whether the containers can rub against one another during handling.

Record units per carton, carton dimensions and gross weight from the proposed shipping unit. A calculator can turn dimensions into volume, but it cannot establish how much protection the finish needs. Agree any transport checks and the evidence expected before release.

Use one sheet that distinguishes approved, pending and rejected items. Attach the drawing and artwork revision, identify the physical samples retained by each party, and record who is responsible for each outstanding decision.

Before confirming production, resolve the pending items that affect the order. Recheck quantity by version, finish, packing, timing and the inspection arrangement in the quotation. This makes the handoff useful even when a different colleague takes over the project.
